The best note-taking app for a Canadian student depends on the work the notes must do. A bilingual history course, an engineering problem set and a recorded lecture need different tools. Start with your campus software, the languages actually used in class and the material you are permitted to process.
This comparison checks published product information and selected university guidance as of 11 October 2026. It is not a hands-on transcription accuracy ranking. We have not tested the same bilingual lecture across these apps.
Check your university account before buying another subscription
UBC provides Microsoft 365 at no cost to eligible students. That is a useful starting point, not evidence that every Canadian university provides the same software or enables every feature.
Sign in through your own university’s IT instructions. Check whether you can create a OneNote notebook, use Word and export your notes. If audio matters, check Word’s Transcribe feature separately. Access to Word alone does not establish that your education account has transcription enabled.
Microsoft’s Transcribe documentation lists English (Canada) and French (Canada). It documents 300 minutes of uploaded audio per month for a Microsoft 365 subscription, with a larger allowance for a Microsoft 365 Copilot licence. Word for the web requires a supported browser and an internet connection. Confirm what your account actually offers before planning around those minutes.
If you would otherwise pay for Microsoft 365, its Canadian Personal plan is C$11.50 monthly or C$115 annually. There is little reason to buy a duplicate subscription before checking campus access.

Choose by the job you need done

This is a shortlist, not a league table. If you need to label a circuit or explain every step in a derivation, a good handwriting workflow may matter more than automatic transcription. If the problem is finding what the lecturer said, playback and correction tools matter more than notebook decoration.
Student offers have different conditions
Notion’s Education Plan is available to eligible students and educators at recognised colleges and universities. It uses a school email address, applies to a one-member workspace and requires annual verification. A classmate’s invitation does not turn a shared workspace into your individual education offer.
Google’s Canadian student page says its previous offer ended on 9 December 2025. Free access remains available. Do not assume a student promotion advertised for another country applies in Canada.
Otter’s published education discount is worded for .edu addresses. A Canadian university address ending in .ca does not establish eligibility under that wording. Check with the provider before including the discount in your budget.
English and French: test the actual lecture, not just the language menu
A listed language tells you that a provider supports it. It does not tell you how accurately the app will capture a particular lecturer, technical vocabulary or a switch between English and French.

The absence of a specifically Canadian English label is not proof that a tool cannot understand a Canadian speaker. Equally, a Canadian French label is not a guarantee that it will recognise the vocabulary in your course.
For a useful trial, choose a short excerpt you are allowed to process. Include a technical term, a proper name, a number and a sentence containing a qualification such as “only if” or “except when”. If the course switches languages, include a real example of that switch.
Check whether the output preserves the meaning, not just whether it looks fluent. For example, a transcript that turns “the result is not significant” into “the result is significant” needs correction before it can become a reliable study note. Keep a small glossary with the term used in class, its equivalent in the other language and the course source that confirms it.
Count whole classes before comparing monthly minutes
Imagine you want to process two 50-minute lectures each week for four weeks. That is 400 minutes, before retries or additional recordings. This is a planning example, not an estimate of a typical Canadian timetable.
A 300-minute monthly allowance would not cover it. Otter Basic also has a 30-minute conversation limit, so the monthly total alone does not mean it can capture a full 50-minute session. A lifetime file-import limit matters if you intend to upload recordings rather than record inside the app.
Notibo Free’s 30 monthly recording minutes are suited to a short sample, not this workload. Its Pro allowance is 1,200 minutes per month. Test the workflow before choosing a paid plan; a larger allowance does not repair poor audio or incorrect terminology.
A phone may already cover part of the job
Apple Voice Memos can show and copy transcripts on supported iPhones. Selecting a word can take you to that point in the recording. Apple Intelligence can add summarisation on compatible devices, subject to its own availability requirements.
Pixel Recorder also offers editable transcripts, with summaries on supported Pixel 8 and later devices and languages. Google warns that retranscription may use its servers. “Built into the phone” does not establish that every operation stays on the device.
Nor do other apps stop at raw text: Otter includes summaries, and Goodnotes and Notability have AI features whose availability depends on the plan. Compare the output and correction process you need rather than assuming that only one provider can summarise.
For slide annotation, Goodnotes documents PDF markup across its platforms, but keeping the same library in sync between Apple and non-Apple devices requires its Pro plan. Notability Plus includes recording and transcription. Try your actual combination of tablet and laptop before committing.
Recording permission and upload permission are separate checks
Read your course guidance or accessibility agreement before making a recording. Then check whether it may be sent to the app you intend to use. A permitted personal recording, a lecture-capture download and a lecturer’s slide deck can have different conditions.
Do not assume every tutorial or lab is prohibited, or that every lecture is permitted. Where classmates, research participants, patients or placement information are involved, ask about the specific session and material. For data handling, ask where files are stored, which providers process them and how deletion works. A storage location alone does not answer all three. See student data privacy in Canada if your course sets restrictions.
Where Notibo fits, and where another tool may fit better
Notibo can turn a permitted recording into an editable transcript and structured notes. It also accepts PDF, PPTX and DOCX material. Recording-based flashcards and spaced repetition require Pro; generated flashcards cannot currently be edited individually. Check them against the source before studying them.
Notibo deletes audio after successful processing and does not provide an audio player for returning to a transcript timestamp. If listening back is central to your study method, retain an authorised original separately or choose a tool designed around linked playback.
Document limits differ by plan: Free allows up to 50 pages and 20 MB per file, while Pro allows up to 500 pages and 50 MB. Scanned PDFs have a separate 100-page limit. Storage is in Frankfurt and AI processing uses US providers, so Notibo does not meet a Canadian-only processing requirement.
The 14-day Pro trial includes 240 recording minutes and requires no card. Use it on a small permitted sample, check the notes against your course material, and try answering the resulting practice questions without looking at the answer. If the output helps you identify and correct a gap in understanding, that is a more useful reason to keep the app than the number of features in its pricing table.
