Key takeaways

  • Notion and Gemini Notebook address different study jobs: organising course work and questioning its reading materials.
  • Notion's individual Education Plan is free for eligible students, but it is not a promise of unrestricted Notion AI.
  • Google's current help calls NotebookLM Gemini Notebook and describes both source chat and newer experimental capabilities.
  • Google now measures AI use through compute allowances with five-hour refreshes and a weekly limit, rather than a simple daily question count.
  • In Gemini Notebook, keep assessed sources separate from extra reading and check what each citation actually supports.
  • Use Notion and Gemini Notebook together only when a clear handover avoids maintaining two competing sets of notes.

Short answer first: choose Notion AI when your study problem is scattered work that needs organising, updating and sharing. Choose NotebookLM, called Gemini Notebook in Google's current help, when you need to question a defined collection of course materials and inspect the supporting passages. Neither choice follows automatically from being a student: Notion's education access does not guarantee unrestricted AI, and Google's current limits depend on compute use. If both sound useful, give them separate jobs before subscribing. Otherwise, you risk creating two attractive places to store the same unfinished thinking.

This comparison uses official documentation checked on 11 October 2026. It assesses workflows, access and limitations, not measured answer accuracy. The examples below are suggested trials for your own course; no hands-on comparison or exam improvement is claimed.

Which problem are you actually trying to solve?

A week can go wrong for two quite different reasons. You might understand the reading but forget that your group needs a draft by Thursday. Or you might have every deadline neatly listed and still be unable to explain why two authors disagree. An app purchase is easier to evaluate once you identify which failure costs you more time.

For a group presentation on urban transport, organisation means assigning the cost analysis, keeping the seminar brief visible and knowing who must check the final slides. Studying means distinguishing an author's evidence about commuting from their assumptions about future demand. Those activities touch the same files, but they need different checks.

Your immediate task Sensible starting point Evidence that it is helping
Coordinate readings, responsibilities and deadlines Notion workspace, with AI if its extra work is useful Everyone can identify the next action and its owner
Compare a small set of assigned papers Gemini Notebook with deliberately selected sources You can inspect the passages behind a comparison
Turn a permitted lecture recording into text and notes Notibo You have editable material to review, while retaining your own audio
Develop your own argument for an essay Your writing process, supported by either tool You can explain and defend the reasoning without the chat

The broader note-taking app comparison covers other types of notebooks; the narrower question here is where AI should enter your existing work.

What does Notion AI add to an organised course workspace?

Notion's AI can work with pages and databases, use workspace context and connected applications, and help draft or revise material. Its current documentation also describes web search controls and meeting transcription. This comparison focuses on maintaining course work inside an ongoing workspace. See Notion's AI guide.

Give the assistant a bounded maintenance task

Suppose your environmental science group has divided a field report into methods, observations and discussion. A worthwhile AI request might be to turn the group's agreed responsibilities into a proposed task list, preserving dates and marking anything unspecified. You can then review the proposal against the actual agreement.

The key word is agreed. An assistant that invents a deadline because every row looks better with one has made the workspace less trustworthy. Ask it to expose missing information, and make somebody responsible for settling that information. A blank deadline with a question is more useful than a plausible date everybody assumes is official.

Start with a small structure: the assignment brief, current tasks and the material you are actively using. Add a property only when it supports a decision. If no one acts differently because a reading has a colour-coded category, maintaining that category is probably optional work.

Keep assessed writing recognisably yours

Drafting help is easiest to judge when your own reasoning already exists. Write the claim, evidence and reservation first; then ask for clearer wording or a check for an unexplained jump. If you ask for the argument before deciding what you believe, polished language can conceal a weak connection between the evidence and conclusion.

For example, an article about cycling infrastructure may support a claim about one city's travel patterns. It does not automatically justify a claim about every city. Your note should preserve that boundary even if a generated paragraph sounds smoother without it. Organisation should make those qualifications easier to find, not remove them.

What makes Gemini Notebook useful for difficult reading?

Google describes a research workflow in which uploaded materials support answers, study guides and other generated formats. School-account access also depends on the institution enabling the service. The current overview is a better starting point than assuming a personal account and a university account behave identically.

The useful unit is often one question, rather than one entire degree. A notebook containing the assessment brief, two central papers and your seminar notes can be easier to interrogate than a collection of everything downloaded during the year. You know what is present, what is missing and why each item belongs.

Ask for a comparison you could check manually: which definition does each author use, what observation supports it, and where do they acknowledge a limitation? Read the cited passages. Then write the disagreement in your own words without looking at the generated response. If you cannot do that, the next step is closer reading, not another summary format.

Source chat and experimental chat need different expectations

The chat documentation describes selecting sources and opening citations in context. It also separately describes experimental capabilities that can search the web, create files and work without sources. It would therefore be misleading to describe every current capability as permanently confined to uploaded documents.

For a closed reading-list assignment, explicitly keep the task tied to the selected materials and inspect the evidence. For exploratory research, additional sources may be welcome, but review their relevance before treating them as part of the course corpus. The distinction is about the work you authorised the tool to do, not whether an answer looks scholarly.

Is the student offer the same thing as free AI?

No. Notion's individual Education Plan covers a one-member workspace with up to 100 guests. Eligibility requires a qualifying institution and your education address as the main account email, with annual verification. A recognised student organisation follows a separate application route. An informal revision group should not assume it automatically qualifies for that organisation offer.

Those are workspace benefits. The AI guide places ongoing Notion AI access on Business and Enterprise, subject to usage allowances; owners can enable premium credits for additional use. Free and Plus have limited complimentary responses. Check the actual entitlement displayed in your education workspace instead of interpreting the word “student” as an unlimited AI licence.

Access question What to verify before paying Why it changes the decision
Do I need a paid Notion workspace? Whether the individual Education Plan meets your organisational needs You may solve the original problem without buying AI
Does my group need members or guests? The access each person requires and the proposed bill Paid plans charge per member; a guest has narrower page access
Do I need more Google AI capacity? Your actual usage display during representative work A larger allowance has little value if you rarely reach the current one
Will the subscription survive the term break? Renewal date, billing period and who owns the account A convenient monthly equivalent can conceal a larger annual commitment

Notion's pricing page distinguishes paid members from guests, offers monthly and yearly billing, and has US dollar and euro display options. Check the selected currency, period and full workspace total in the purchase screen. A displayed per-member monthly figure is not enough to budget for a group or establish the annual charge.

How do source updates and usage limits affect revision?

Course material changes. A tutor replaces a slide, a teammate corrects a methods section, or you lose access to a shared document. An old answer can remain persuasive even after the evidence underneath it has changed.

Google's source import guide now says imported Drive sources update automatically and that losing access can make a source unavailable. It also warns that Google-file footnotes and comments are not imported. A web-page import captures that page's text, not the surrounding website. These details matter more than an impressive maximum document size when the missing qualification lives in a footnote.

Before an important revision session, check the source list against your actual reading list. Open the original when a definition depends on a note, table or qualification you cannot see. Date your own synthesis so that a later change is easier to notice. Do not assume a previously generated study sheet silently rewrites itself every time its source changes.

Google's usage policy uses compute allowances influenced by prompt complexity, models, features and conversation length. Quota refreshes every five hours until the weekly limit is reached. That is not a reliable fixed number of questions or flashcards per day.

Plan around work completed: one checked comparison, one attempted explanation, one list of unresolved questions. Repeatedly generating slightly different versions of the same summary consumes capacity without establishing what you remember. Your study schedule should reserve time for checking and recall as well as producing material.

Can using both tools reduce work instead of duplicating it?

Yes, but the handover needs a destination and a stopping rule. One workable arrangement is to keep commitments and your final course notes in Notion, while a focused Google notebook supports a particular reading question. After checking the response, save your own conclusion and the original reference in your course notes.

Avoid copying every chat response into the permanent workspace. That creates another reading backlog. Keep what changes your understanding: a corrected definition, a useful contrast or a question for the next tutorial. If the output adds no decision or insight, there is little reason to preserve it.

Decide which copy is authoritative

Imagine your group corrects a date in its project brief. If the same brief exists in several manually maintained places, agree where the correction is made first and who updates the other copies. A link to the authoritative brief is often easier to maintain than three competing paragraphs.

What should stay out of a shared study workspace?

Begin with the material you are allowed to use and share. A class handout, a private placement observation and a research participant's interview are not interchangeable inputs. Check course and project requirements before adding sensitive or restricted material to either service. This is especially relevant when classmates can access the same workspace.

The providers' data statements are also conditional. Notion's pricing FAQ says it does not use customer data for model training unless the user opts in, and describes restrictions on AI subprocessors. Google's overview distinguishes ordinary consumer feedback from Workspace and Workspace for Education protections. A short phrase such as “never used for training” can lose an important account or feedback condition.

For group work, decide what belongs in shared notes before connecting broader information sources. A useful project workspace might need the assignment brief and agreed research. It probably does not need everyone's personal revision diary or unrelated course notes. Ask each person to check what the shared view actually exposes.

Also decide what to keep at the end of the project. Preserve your own writing and bibliographic references in a form you can still read. Access granted by an institution or another student may not last indefinitely. Your notes should remain useful when the original collaboration has ended.

Which option should you choose for the next four weeks?

Choose Notion first if your main obstacle is coordinating work, maintaining a course structure or turning decisions into visible next steps. Begin with the workspace entitlement you already have. Add AI only after identifying a repeated task it can perform usefully under your review.

Choose Gemini Notebook first if your timetable is under control but you need help interrogating a specific body of reading. Start with a small, deliberate source set and check a difficult answer against the original. Use the guide to NotebookLM and lecture recordings if your main material is recorded teaching rather than papers.

Use both if the boundary is clear: research and question in one place, then retain your checked understanding and commitments in the other. If you cannot explain the handover in a sentence, use one tool until the missing step becomes obvious.

Before paying for a year, use a real assignment. Organise its next actions, investigate one disputed point, and return a few days later to find the evidence again. Judge the time needed to maintain the result as well as the time needed to generate it. A successful trial ends with you knowing what to do and why, not with the largest collection of outputs.

Where Notibo fits

Sometimes neither organisation nor source chat is the first missing step. You have a permitted lecture recording, but no workable text to revise. Notibo's lecture-recording workflow produces an editable transcript and notes that you can export to Word or PDF. Those can become part of your later course organisation or source review.

Notibo is not a replacement for a collaborative Notion workspace or Google's source-citation interface. It processes recordings in the cloud and has no retained audio player or transcript timecodes. Audio is deleted after successful processing, so keep your own original for checking. On a phone, keep the recording page in the foreground because locking the screen or switching applications may interrupt capture. Direct recording runs up to two hours within your remaining minute allowance; media uploads have a standard 50 MB limit. Check long generated notes for missing later sections, because they can be truncated.

The 14-day Pro trial provides 240 minutes without a card. It starts with your first recording or the start button, then returns to Free with 30 minutes monthly if you do not buy a subscription. The current plans list Pro at 9.99 euro per month or 88.99 euro per year, with 1,200 minutes monthly. Try it when producing usable lecture material is the step that would make the rest of your study system work.

Frequently asked questions

Is Notion AI free for university students?
An eligible student can obtain Notion's individual Education Plan for a one-member workspace. That education entitlement should not be confused with ongoing Notion AI access: the AI help places it on Business and Enterprise, while Free and Plus have complimentary trial responses. Check the entitlement shown in your workspace.
Is NotebookLM now called Gemini Notebook?
Google’s help pages checked on 11 October 2026 use Gemini Notebook for the product previously called NotebookLM. Check the current help pages for features and account limits, particularly when using a university-managed account.
Does Gemini Notebook always answer only from uploaded sources?
Its documented source-chat workflow uses selected materials and citations. The same help page now also describes experimental chat capabilities that can search the web and work without sources. Keep those modes distinct when an assignment requires answers from a particular reading list.
Can I use Notion and Gemini Notebook together?
Yes, if each has a clear purpose. For example, keep deadlines and your final understanding in Notion, and use a topic notebook to question selected readings. Decide which copy is authoritative before adding another place to update the same information.
Should I buy an AI subscription before revision starts?
First complete a representative study task with the access you already have. Check whether the obstacle is a real usage limit, missing course material or an unclear question. Paying for more generation does not resolve the last two problems.
Can these apps replace reading the original paper?
No. An explanation or citation can help you find a passage, but you still need to check its context, methods and qualifications. For assessed writing, retain the original reference and distinguish the author's findings from your own interpretation.
