For a lecture, you may need to recover a definition you missed. For a seminar, you may need to compare two arguments and prepare a question. For a maths tutorial, you may need to write out the working yourself. The best note-taking app is the one that supports that task on the devices you already use.
This UK comparison checks published features, offers and selected university guidance as of 11 October 2026. It does not rank transcription accuracy from hands-on tests. Start with campus access, then compare the specific workflow and limits you need.
Check what your university provides
Sussex provides Office to current students at no cost for the duration of their course. Manchester’s Microsoft 365 page lists apps including Word and OneNote and explains how students access them. These are examples; your own university’s IT page determines your entitlement.
If OneNote already meets your need for typed notes, there may be no reason to buy another notebook. Check that you can access it on your normal devices and export the material you need before your student account expires.
Check Word Transcribe separately. Access to Word alone does not establish that Transcribe is available under your particular education licence. Microsoft documents a 300-minute monthly uploaded-audio allowance for a Microsoft 365 subscription, with a larger allowance for a Microsoft 365 Copilot licence. Word for the web needs a supported browser and an internet connection. Try a short permitted file and ask IT if the feature is unavailable.
Three hundred minutes equals six 50-minute sessions. It would not cover a hypothetical timetable of two such lectures each week for four weeks, which totals 400 minutes. Account for your actual workload before comparing subscriptions.
Match the app to the teaching format

These options overlap. Otter includes summaries; phone tools can offer them too; handwriting apps now include AI features. “Transcript versus notes” is a useful distinction between outputs, but it is not a reliable way to split today’s providers into two fixed groups.
A seminar needs a different page from a lecture
For a seminar on a set reading, prepare four fields:
- Question: what issue will the discussion address?
- Argument: what does the author claim?
- Evidence: which passage or example supports that claim?
- Challenge: what assumption or counterexample will you ask about?
During the discussion, add the strongest objection and note whether it changes your view. Keep page numbers for the reading. That page can be useful in any notebook app; recording the discussion is optional and depends on permission.
For a lecture with equations or diagrams, keep the original slide alongside your own explanation of each step. A speech transcript may omit visual information the lecturer points to. Before choosing a tool for this course, try one annotated page and one worked problem, not just a voice recording.
Compare prices and the limits behind them
These are the providers’ displayed prices on the review date. USD or EUR amounts are not conversions into pounds; check your regional checkout and any app-store terms. Annual prices and monthly subscriptions are different commitments.

Google’s UK student offer provides one year of AI Plus for eligible university students aged 18 or over, if redeemed by 31 December 2026. It requires student verification and a payment method. It renews at £4.49 per month after the free period unless cancelled. Set a reminder if you intend to use only the free year.
Notion’s Education Plan also has conditions: use an eligible institution’s email address and an individual workspace, and verify your student status annually. Do not assume the offer extends to a shared course workspace.
If you need disability-related study support, discuss the required workflow with your university’s support service before buying software. An app’s public price does not establish whether it will be recommended or funded for you.
Your phone may already provide playback and transcription
Apple’s Voice Memos guide lists English in all variants on iPhone 12 and later, subject to regional availability. You can copy the transcript and select words to return to their position in the audio. Apple Intelligence can summarise on compatible devices; this has separate device and availability requirements.
Pixel Recorder lists British English and offers summaries on supported Pixel 8 and later devices and languages. Some operations, including retranscription, may use Google’s servers. Check your device’s features and processing settings rather than assuming every recorder stays entirely offline.
A supported British English option does not prove accuracy for every accent, room or discipline. Use a short permitted sample with technical terms and check the words that would change an answer: negations, dates, quantities and conditions.
Check recording and processing rules for the actual session
There is no single permission statement covering every UK university and teaching format. Dundee’s policy, for example, generally allows students to make audio recordings of lectures, subject to its exceptions. Small-group recording requires the group’s knowledge and express permission. The policy also sets personal-use and retention conditions. That example does not establish the rule for another institution.
Check whether the intended app’s processing fits the permission you have. Recording, sending audio to an external service, sharing a transcript and uploading a lecture-capture download are separate uses. Ask where files are stored, which providers process them and how deletion works. If your course involves confidential placement or research material, follow its approved process. See student data and UK GDPR for the questions to raise with a provider or university.
Where Notibo fits
Notibo is worth trying when you have permitted audio or PDF, PPTX or DOCX material and want an editable transcript or structured notes. Recording-based flashcards and spaced repetition require Pro. Generated flashcards cannot currently be edited individually, so check their wording and answers against the source before studying them.
It is less suitable when your main requirement is linked audio playback: audio is deleted after successful processing, and there is no player for jumping back to a timestamp. Retain an authorised original separately if listening again is part of your workflow.
Free document uploads allow up to 50 pages and 20 MB per file; Pro allows up to 500 pages and 50 MB. Scanned PDFs have a separate 100-page cap. Files use storage in Frankfurt, while transcription and AI processing use US providers, so Notibo does not meet a UK-only processing requirement.
The 14-day Pro trial includes 240 recording minutes and requires no card. Try one permitted piece of course material, correct any errors and test whether the notes help you explain the topic without looking. Keep the tool only if that process is useful for your course.
